Privacy Policy

Last updated: 19 June 2026

This privacy policy explains how The Mel Edit ("I", "me", "my") collects, uses and protects personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who I am

The Mel Edit is a sole-trader UGC content creation business based in the United Kingdom. For any privacy questions, you can contact me at hello@themeledit.com.

2. What data I collect

When you contact me through this website or by email, I may collect:

  • Your name
  • Your email address
  • Your brand or company name
  • Details of the project you are enquiring about
  • How you heard about me (if you choose to share this)
  • Any other information you voluntarily include in your message

I do not collect special category data, and I do not knowingly collect data from anyone under 18.

3. Legal basis for processing

I rely on the following lawful bases under UK GDPR:

  • Consent — when you submit the contact form or email me directly.
  • Legitimate interests — to respond to your enquiry, deliver contracted work and keep records for accounting and tax purposes.
  • Legal obligation — to keep financial records as required by HMRC.

4. How I use your data

I use your personal data to:

  • Respond to your enquiry and discuss potential projects
  • Provide quotes, contracts and deliverables
  • Invoice for work and maintain financial records
  • Communicate about ongoing projects

I will never sell your data, and I will not send you marketing emails without your explicit consent.

5. Data sharing

I keep your data confidential and only share it with trusted third-party services that help me run my business, including:

  • Email provider (to send and receive correspondence)
  • Website hosting provider
  • Accounting software and my accountant (where required)
  • Client portal software (for active projects)

These providers act as data processors and are bound by their own GDPR-compliant agreements. I will only share your data with other third parties if required by law.

6. Data retention

Enquiry data is kept for up to 12 months after our last contact unless you become a client. Client records, contracts and invoices are kept for 7 years to comply with UK tax requirements, after which they are securely deleted.

7. Your rights under UK GDPR

You have the right to:

  • Access the personal data I hold about you
  • Request correction of inaccurate data
  • Request erasure of your data ("right to be forgotten")
  • Restrict or object to processing
  • Request data portability
  • Withdraw consent at any time

To exercise any of these rights, email hello@themeledit.com. I will respond within one month.

If you are unhappy with how I handle your data, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies

This website uses only essential cookies required for it to function. I do not use tracking, advertising or third-party analytics cookies.

9. Data security

I take appropriate technical and organisational measures to protect your data, including secure passwords, encrypted storage and limited access. No method of transmission over the internet is 100% secure, but I do my best to protect your information.

10. Changes to this policy

I may update this policy from time to time. The "last updated" date at the top reflects the most recent revision. For significant changes, I will notify active clients directly.
